Terms & Conditions of Booking - PLEASE READ CAREFULLY.
PLEASE NOTE THAT BY MAKING A BOOKING AND PAYING A DEPOSIT, YOU ARE ACCEPTING THE TERMS & CONDITIONS OF BOOKING. FOR OUR PRIVACY POLICY, CLICK HERE.
1. You will be required to complete a booking form. You will be sent a weblink once availability has been confirmed by us. A non-refundable deposit of £50 per week, per caravan, is then required to confirm a booking. This must be received within 7 days. If the deposit is not received within 7 days, and/or a booking form is not completed, then we will automatically cancel your booking. This can be paid by cheque payable to MRS K E SHAW. You can also pay over the counter at any branch of Halifax or Natwest, via internet banking or via BACS. Please contact us for our account details.
1a. YOU MUST INFORM US BEFORE ARRIVAL OF ANY CHANGES YOU WISH TO MAKE TO YOUR BOOKING. THIS INCLUDES NAME CHANGES, CONTACT DETAILS, ARRIVAL DATE, LATE OR NEXT DAY ARRIVAL, ETC.
2. Please note that deposits are non-refundable. However, if we are able to re-let the caravan, we may consider a refund of the deposit as a gesture of goodwill.
3. The remaining balance is to be received no later than 4 weeks before your arrival date, and is payable by one of the methods listed in note 1. If the balance is not received within this time frame, we reserve the right to re-advertise the caravan. If your arrival date is within 5 weeks then the full balance and security bond is required within 7 days. We will also require the names of ALL guests. This is a requirement by Coastfields Holiday Village, and also enables us to issue passes. Any guests found in the accommodation that are not listed with us and the site will result in your holiday being terminated without refund.
4. Once the remaining balance has been received, no refund is available. We may consider refunds, at our discretion, in the event of illness, redundancy or jury service, with proper supporting evidence, if the accommodation can be re-let, minus any discounts we have had to make to re-let the caravan.
5. We recommend that you purchase some form of holiday insurance if you require it, as no insurance is included in the cost of your holiday.
6. A security bond will also be required with your final balance, of £50 per caravan, per week. The security bond will be refunded by us, and not Coastfields Holiday Village, within 7 days of your departure date, either by cheque or internet banking. This is subject to a satisfactory inspection of the caravan, and that there is no damage or breakages caused by you or your guests. We reserve the right to deduct any monies from your security bond for loss, damage or breakages.
7. Caravans are available to check in from 2pm on your day of arrival. Please ensure that you take your authorisation form with you. This will be posted to you approximately 2 weeks before your arrival date. PLEASE NOTE THAT WITHOUT THIS, YOU WILL NOT BE ABLE TO COLLECT THE KEYS OR PASSES. If you will be arriving after 6pm, then please let us know so we can inform Reception of your late arrival. If you have not claimed your accommodation by 10am on the next day after your confirmed arrival date (as shown in your arrival information), and you have not informed us that you will be arriving on a different day, then we reserve the right to cancel the remainder of your booking with no refund.
8. Caravans must be vacated by 10am on your day of departure. If you require a late checkout, then please let us know.
9. On arrival, we suggest that you check the inventory. If any items are missing, or there are any faults or breakages, then these are to be reported to us immediately on our contact telephone number within 24 hours.
10. Caravans must be left in the same clean and tidy condition as when you arrived, with full inventory. On departure, please ensure that all rubbish is placed in the bins provided around the site, and that beds have been stripped and all bed linen placed by the front door.
11. At the end of your stay, the caravan will be inspected, and if the caravan is left as note 10, then the security bond will be refunded to you within 7 days, by cheque or internet banking. If the caravan has not been left as per note 10, then dependent on the time and resources needed to rectify the problem, part of, or the entire security bond will be lost. This also applies to any damage, whether it be accidental, wilful or through neglect, caused to the caravan or it's contents, including loss and bed wetting, caused by you or your party. THE SECURITY BOND IS REFUNDED BY US, AND NOT COASTFIELDS HOLIDAY VILLAGE.
12. Pets are not allowed, unless prior permission has been recived from us. Any pets found without permission will result in your holiday being terminated immediately without refund.
13. Smoking is NOT allowed in any caravan. Any person found to be smoking inside the caravan will result in your holiday being terminated immediately without refund. Any evidence of smoking found after your departure will result in part of or all of your deposit not being refunded for cleaning.
14. In the event that your holiday or accommodation becomes unavailable due to circumstances beyond our control, then we will try to offer you alternative accommodation, an alternative date or a full refund.
15. Coastfields Holiday Village is a family site. The owners of the caravan or site personnel have the right to terminate your holiday if the general behaviour, conduct or noise level of your party or any member of your party, is unacceptable. Holidays will be terminated immediately without refund.
16. The caravan owners and Coastfields Holiday Village are relieved of any liability for personal injury, goods left, items lost or stolen, loss or damage to vehicles, before, during or after your booking.
17. Any changes to the advertised facilties or entertainment is solely at the discretion of Coastfields Holiday Village. The caravan owners have no control or influence over this, and no refund of any amount will be made in respect of this. Please note that some facilties and entertainment may not be available during ceratin times of the season. Again, this is at the discretion of Coastfields Holiday Village, and the owners of the caravan accept no responsibility for changes or loss of facilties or entertainment.
18. We are unable to accept bookings from same sex parties of 3 or more people, and also from groups of people under the age of 21. We may be flexible on this at our discretion.
19. We reserve the right to refuse bookings without reason.
20. To gain access to facilities and entertainment, you are required to carry your passes with you at all times. You may be refused entry without them. We accept no responsibility for access being denied. Any lost passes must be reported to reception immediately.
21. The caravan owners decision in any dispute is final.
22. The caravan owners reserve the right to change the terms and conditions without notice. You will be informed of any changes that may affect you.
23. Sheds or any other outbuildings that are connected to, or adjacent to, a caravan are not available for guests use.
24. Certain facilities and items described in caravan's may not be available in certain circumstances (i.e. damage by previous guests). In this instance, we accept no responsibility for this and no reductions or refunds will be made. We will try to replace any such items as soon as possible. We will try to inform you of any loss of caravan facilties as soon as possible.
25. We do not accept any responsibility for supply loss of electricity, gas or water during your stay. There are times when emergency repairs are needed on site and this is solely at the discretion of Coastfields Holiday Village and the relevant power/utility companies. No refunds or reductions will be made in this instance.
26. Loss of keys will result in replacement locks being fitted to the caravan, for which you (the lead name) will be responsible for the full cost of replacement, call out and any other costs which the locksmith may incur.
27. By booking and paying a deposit, you are accepting the above terms and conditions.
